Womens Action to Gain Economic Security (WAGES) is a non-profit
organization dedicated to promoting the economic and social well-being
of low-income women through cooperative business ownership. We are
currently seeking an experienced Office Manager to staff WAGES
central office in Oakland.
Position Summary and Requirements
The office manager is responsible for general office administration,
bookkeeping, and clerical support. Work is primarily with, and reporting
to, the Executive Director. The ideal candidate will be bilingual
(Spanish-English) and experienced with QuickBooks.
This position is 24 32 hours per week, with the possibility
of additional hours depending on skills and interests. Salary depends
on experience. Benefits are pro-rated, and include holidays, paid
vacation (pro-rated 3 weeks per year); sick days (pro-rated 12 per
year); health and dental insurance.
Responsibilities
General and Administrative
- Maintain administrative and program files
- Develop and maintain administrative forms
- General office duties including: drafting correspondence,
proofreading, data entry, mailing, monitoring and ordering supplies
- Maintain physical space, including furniture and equipment
- Coordinate communications with landlord and schedule regular
cleanings
- Participate regularly in staff meetings
- Manage vendor contracts
- Other duties as required
Bookkeeping
- Maintain financial records and systems using Quickbooks
- Manage accounts payable and receivable, with internal controls
- Prepare bills and make deposits
- Prepare financial reports for board, Executive Director and
accountant
- Process payroll and associated benefits
- Assist with annual financial review and audit preparationCommunications/Networking
- Respond to requests for information and document contacts
- Develop and maintain media contact lists
- Coordinate communication between off-site and on-site staff
- Work with technical support providers to maintain and upgrade
computer systems and web site.
